Third Room Dance Studio — Refund, Cancellation & Use Policy Effective: [insert effective date] Time zone: Malaysia Time (MYT, UTC+8) 1. Advance Payment & Booking Confirmation All bookings must be paid in advance to confirm the reservation. If payment is not received before the booking date/time, Third Room may cancel the booking within 24 hours of the scheduled start time. A booking is only confirmed once you receive written approval from Third Room. 2. Cancellations & Refunds (After Payment) Cancel ≥ 48 hours before start time: 50% refund of the total booking fee. Cancel < 48 hours before start time: No refund. No-show: No refund. Refunds are issued to the original payment method. Allow 7–10 working days for refund processing. Bank fees, transfer fees and currency conversion charges are non-refundable. 3. Rescheduling (After Payment) ≥ 48 hours before start: One (1) free reschedule to an available slot within 30 days of the original date. Rate differences apply. < 48 hours before start: Rescheduling is treated as a cancellation (no refund). A new booking and payment are required. Reschedules are confirmed only upon written reply from Third Room. 4. Partial Use / Early End If you leave earlier than scheduled or do not fully utilize the booked time, the full booking fee still applies (no partial refunds). 5. Overtime Overtime is billed in 30-minute blocks at 1.5× the hourly rate, subject to studio availability. You must vacate the premises promptly at the end of your booked period unless an overtime booking is confirmed and paid. 6. Force Majeure If Third Room must cancel due to events beyond our control (e.g., building issues, fire, flood, utility outages): You may choose (a) a full refund, or (b) a free reschedule within 30 days. Third Room is not liable for indirect or consequential losses (travel costs, production expenses, performer fees, etc.). 7. Studio Conduct, Use & House Rules By clicking “Submit Booking Request” and receiving written booking approval you and your guests agree to the following rules and responsibilities: 7.1 Permitted & Prohibited Uses Use the studio only for lawful and appropriate activities. The studio is not to be used for illegal, hazardous, or otherwise prohibited activities. Alcohol consumption is allowed, provided it is responsible, does not create a nuisance, and all other studio rules are followed. No smoking inside the studio. Smoking may be permitted only in designated external areas if stated in your booking confirmation. No overnight staying. All users must vacate by 12:00 midnight (12am). 7.2 Cleanliness & Return Condition You must leave the studio clean and in the same condition as at the start of your booking (dispose of rubbish, return furniture/equipment to original positions). Excessive cleaning required after your booking may incur additional cleaning fees. 7.3 Damages & Compensation You are responsible for your guests’ conduct and for any damage to the studio, fixtures, fittings, or equipment during your booking. If damage occurs, you agree to compensate Third Room at current market rates for repair or replacement. Third Room may retain contact and billing information and may charge such costs to the payment method on file, or pursue recovery by legal means. 8. CCTV Recording, Evidence & Consent For safety, security and property protection, the premises are under CCTV surveillance. By clicking “Submit Booking Request” and accepting your booking approval, you expressly consent to the recording of your session(s) by the studio’s CCTV and other monitoring systems. You AUTHORIZE Third Room to disclose CCTV footage and related records to law enforcement, regulatory bodies, or Third Room’s legal advisers when Third Room reasonably believes such disclosure is necessary for investigation, reporting, evidence, or prosecution. You also consent to Third Room using recordings for internal investigation, staff training, or other legitimate business purposes. To the maximum extent permitted by law, you waive any claims or actions against Third Room arising from or related to the use or disclosure of such recordings for the purposes described above. Important: Third Room will handle personal data and recordings in accordance with applicable laws. Where local law imposes restrictions on disclosure or requires additional procedures, Third Room will comply with those legal obligations. 9. Security Deposit (where applicable) For certain bookings or events (e.g., larger groups, special activities, or equipment use), Third Room may require a refundable security deposit. The deposit will be returned after inspection, less any deductions for damage, excessive cleaning, unpaid overtime, or other breaches. 10. Surveillance, Privacy & Use of Footage (best practice) Third Room will retain CCTV recordings for a reasonable period subject to storage capacity and legal requirements. Third Room may anonymize footage if used for promotional or training purposes; however, use of identifiable footage will be limited to lawful purposes and handled in line with privacy obligations where applicable. 11. Right of Refusal & Termination Third Room reserves the right to refuse, suspend, or terminate any booking where the studio determines there is a risk to safety, property, staff, or other clients, or where use contravenes this policy. In such cases, refunds or credits (if any) will be at Third Room’s discretion and subject to investigation. 12. Insurance Recommendation Third Room strongly recommends that commercial users, production companies or large events obtain public liability insurance and any other relevant insurance to cover loss or damage, participant injury, or other liabilities. 13. Liability & Indemnity Third Room is not liable for loss, theft or damage to personal property brought onto the premises. You agree to indemnify and hold Third Room harmless from any claims arising from your use of the studio except where caused by Third Room’s gross negligence or willful misconduct. 14. Governing Law & Dispute Resolution This policy is governed by the laws of Malaysia. Any dispute arising from this policy or a booking will first be referred to negotiation/mediation; if not resolved, parties may pursue civil remedies in competent Malaysian courts. 15. Timing & Time Zone All deadlines and times are in Malaysia Time (MYT, UTC+8). The 48-hour window is calculated to the minute from the scheduled start time. 16. How to Cancel or Reschedule Email thirdroom@idealsys.my with booking date/time, studio name, and contact number. Reschedules or cancellations are effective only upon our written confirmation. 17. Acceptance of Terms By clicking “Submit Booking Request” and receiving booking approval or using/renting ThirdRoom Studio, you: Confirm you have read, understood and agreed to this entire policy; and Acknowledge that breach may lead to booking termination, compensation claims, reporting to the police, and/or legal proceedings.
